Last reviewed: 6 September 2026
Who is responsible
The Pastoral Hub is responsible for personal information sent directly to us. For privacy questions or requests, email hello@thepastoralhub.co.uk.
Information we may receive
If you email us, we receive your email address, the name attached to it and anything you choose to include. Our website and hosting provider may also process basic technical information needed to deliver and protect the service.
Please do not send names or identifiable details about children, pupils, schools, health conditions or safeguarding cases.
Why we use it
- To read and respond to general enquiries.
- To improve or correct our resources and website.
- To keep the service secure and meet legal obligations.
- To act where information indicates an immediate and serious risk of harm, when sharing is necessary and lawful.
We normally rely on legitimate interests to respond to enquiries and operate this service. We rely on your consent for optional analytics. Other lawful bases may apply where the law or protection of life requires action.
Who receives it
Information may be processed by the providers that host our website and email. If you accept analytics, Google processes the analytics information described below. Google may process information outside the UK using its stated safeguards. You can read Google's privacy policy. We do not sell personal information. We only disclose information to another organisation when required by law or when necessary to respond to a serious and immediate safety concern.
How long we keep it
Routine enquiries are normally deleted within 12 months of the last contact unless there is a legal or safety reason to keep them longer. Information sent unnecessarily will be minimised or deleted as soon as it is safe and lawful to do so.
Cookies and analytics
We use Google Analytics 4 only when a visitor actively accepts optional analytics cookies. If accepted, it helps us understand information such as which pages and free resources are used, how visitors reached the website, approximate location, and general device or browser type. We use this information to improve the Hub. We do not use advertising cookies or use Analytics to personalise advertising.
Google Analytics normally uses cookies beginning _ga. We limit their lifetime to 90 days. Analytics remains off if you reject it. You can change or withdraw your choice at any time using the Cookie settings button shown on the website.
We also record an anonymous total when a free-resource download button is used. This count does not include names, email addresses, IP addresses or other information that identifies you. The hosting service may use essential technical storage or logs to operate and protect the website.
Your rights
Depending on the circumstances, you may have rights to access, correct, delete or restrict the use of your information, or to object to its use. Contact us first so we can help. You can also complain to the Information Commissioner’s Office.
